Project Confidentiality & Information Control
Give each person the information needed for the agreed work.
Project confidentiality covers the development, production, quality and project personnel who actually participate, together with approved outside parties. Role-based access, controlled distribution and traceable changes keep information tied to its purpose.
- Controlled information
- Role-based permission
- Authorized task
The right information for each project role
Xinyinhai's project controls give people access according to the work they are approved to perform. Participation in a project does not provide unrestricted access to every file, sample or production resource.
| Project role | Information needed for the work | Access boundary |
|---|---|---|
| Project coordination | Approved requirements, schedules, decisions and release records. | Coordinates distribution to the authorized participants and confirms requests for additional access. |
| Design and engineering | The design, electronic and firmware materials required for assigned development tasks. | Access follows the assigned discipline and approved development scope. |
| Production | Released work instructions, approved production files and the materials needed for the assigned operation. | Manufacturing access stays within the agreed production purpose; source files and keys are controlled separately. |
| Quality | Approved specifications, inspection criteria, test instructions and controlled samples. | Access supports inspection, validation and traceable quality records. |
| Approved external parties | The specific drawings, materials or samples approved for the subcontracted task. | Disclosure is limited to the authorized task and covered by the applicable confidentiality arrangements. |
Project access is reviewed when responsibilities change, a person leaves the project or an external assignment ends. Permissions are adjusted or withdrawn, and controlled materials are returned, transferred or otherwise closed as agreed.
Control the file, the version and the recipient
Customer information stays connected to its project, permitted use and approved version throughout development and manufacturing.
Distribution and revision control
- Identify the project, file purpose, revision and release status before distributing working or production documents.
- Confirm email recipients, attachments and disclosure scope before sending project information.
- Use the channels agreed for the material being transferred; detailed drawings, programs and keys require an agreed handover arrangement.
- Keep release and change records, and withdraw or clearly supersede obsolete working versions.
Terminals and removable storage
- Limit access on project workstations and shared storage to authorized users and the information needed for their work.
- Control copying, exports and the use of removable storage rather than treating portable copies as unrestricted files.
- Apply the project rules when information moves between development, production, quality and an approved external party.
- Record agreed retention, return or disposal arrangements when a file set is replaced or the project closes.
Confidentiality follows the people doing the work
The requirements cover the actual development, production, quality and project personnel involved, together with approved external participants.
Employees and project participants
Confidentiality training explains what information is controlled, who may receive it and how to report a concern. Project details, screens, drawings, prototypes and production work cannot be photographed, posted on social media or used for publicity without the required written authorization.
Changes in a person's role trigger a review of file permissions, controlled items and outstanding handovers. Confidentiality obligations continue according to the agreed arrangements after participation ends.
Visitors and external personnel
Visits and external work are limited to approved purposes and areas. Access to controlled areas is managed, with accompaniment and entry records as required by the activity.
Approved outside parties receive the confidentiality requirements relevant to their work. Further sharing, photography and the movement of project materials require authorization; approval for one task does not authorize unrelated use.
A defined response when something is wrong
An unexpected recipient, missing item, unauthorized access or other confidentiality concern is treated as an exception to investigate and resolve.
Report and contain
Record the concern, preserve relevant records and restrict further access or movement while the situation is assessed.
Investigate the scope
Review the affected information or items, participants, versions, transfers and available traceability records.
Notify and coordinate
Inform the responsible project contacts and notify the customer according to the agreed obligations and confirmed circumstances.
Correct and review
Document corrective actions, verify their completion and use internal reviews to address the cause and update the relevant controls.
Questions before you share the details
Clarify the protection, responsibilities and next step for your project.
Does everyone at the factory see the complete project?
No. Access is authorized according to work needs. Development, production, quality, project management and approved outside parties receive the information relevant to their assigned tasks rather than unrestricted project access.
How are obsolete files and engineering changes handled?
Files are identified by project and version. Approved revisions are distributed to the relevant roles, and superseded working copies are withdrawn or clearly controlled so they are not used as the production baseline.
Can a supplier receive our complete design package?
Only approved outside parties receive the information required for their authorized work, under confidentiality requirements. The release scope and recipient are checked; broader sharing requires authorization.
What happens when someone changes roles or a concern is discovered?
Permissions are reviewed and adjusted when responsibilities change or access is no longer needed. Concerns are reported, contained and investigated; affected customers are notified as appropriate to the confirmed facts and agreed obligations, with corrective actions and closure records.
Begin with a non-sensitive overview.
Describe the product, your starting point and the support you need. Request an NDA discussion before sharing detailed drawings, programs, keys or restricted commercial information.
This link preselects the NDA discussion request in the existing RFQ. It does not sign an NDA or send an inquiry.
